Intellectica is recruiting a Project Coordinator on behalf of its client, a leading provider of specialized engineering solutions for subsea cable installation and offshore energy infrastructure. Known for its commitment to technical excellence, operational reliability, and client-focused delivery, the company is expanding its project team to support a growing pipeline of complex international projects. The Project Coordinator shall play a critical role in coordinating activities between onshore teams, offshore operations, and external stakeholders to ensure successful project execution. Based in Attiki, Greece – with international travel to global project sites for up to 4-6 months per year – the successful candidate shall report directly to the assigned Project Manager and work closely with cross-functional teams, clients, and offshore personnel throughout project lifecycles.
Key activities and responsibilities of this role include:
- Supporting the Project Manager in developing detailed action plans, schedules, and resource allocations across project phases
- Drafting and maintaining comprehensive project documentation, including Execution Plans, Method Statements, and Technical Reports
- Collaborating closely with engineering departments to gather required inputs for geotechnical, cable installation, and survey documentation
- Reviewing and validating engineering studies to ensure alignment with project goals and standards
- Monitoring project progress using action trackers and daily diaries, and flagging risks or deviations early
- Coordinating communications with internal stakeholders (e.g., HSE, Engineering, Offshore Managers) and clients throughout the project lifecycle
- Attending and contributing to internal and external project meetings (e.g., Kick-off, HAZID/HAZOP)
- Joining offshore teams during mobilization, execution, and demobilization phases on a rotational basis as required
- Preparing and monitoring Daily Progress Reports (DPRs) and reviewing logbook entries
- Drafting Minutes of Meetings and maintaining accurate documentation within the company’s data management system
- Participating in onboard vessel meetings and liaising actively with survey teams, Marine Superintendents, and Client Representatives
- Reviewing survey results and ensuring compliance with technical and safety requirements
- Assisting in preparing Management of Change (MOC), Field Reports, and As-built documentation
- Ensuring adherence to HSE policies, safety audits, and offshore reporting standards
- Any other task that may be required from time to time
Professional experience & qualifications of a successful candidate:
- Bachelor’s degree in Engineering (e.g., Civil, Mechanical, Electrical, or Marine Engineering)
- 2-4 years of related engineering or offshore project coordination experience
- Demonstrated experience in managing or supporting technical projects from initiation to delivery
- Familiarity with offshore operations, vessel coordination, and subsea cable installation is an advantage
- Understanding of risk management, QA/QC protocols, and engineering documentation standards
- Proficiency in Microsoft Project and Microsoft Planner, along with general MS Office applications
- Fluency in Greek and English, both written and spoken
