Intellectica is seeking an Executive Assistant, on behalf of its client, a pioneering maritime technology company that is transforming the global shipping industry through advanced AI and data-driven solutions, with a presence across Europe and Asia. Based in Athens, Greece, and reporting directly to the CEO, the successful candidate will play a pivotal role in enabling the CEO and CBO to operate at their highest level, taking ownership of their schedules, travel logistics, and day-to-day executive support with precision and discretion.

Key activities and responsibilities of this role include:

  • Acting as a support partner to the CEO and CBO, ensuring their time, priorities, and commitments are managed effectively
  • Managing complex calendars, coordinating meetings, appointments, and shifting priorities with foresight and precision
  • Organizing travel arrangements (flights, accommodation, transfers)
  • Screening and prioritizing incoming communications (emails, calls, messages), ensuring timely and appropriate responses or redirection
  • Preparing executive briefings, presentations, and meeting materials; capturing accurate notes and tracking follow-ups to support decision-making
  • Liaising with external stakeholders (e.g., event organizers, speaking engagements) to facilitate strategic engagements and visits
  • Supporting internal meetings and events with administrative coordination and documentation
  • Handling sensitive administrative tasks, including board documentation and confidential records
  • Any other task that may be required from time to time

Professional experience & qualifications of a successful candidate:

  • Bachelor’s degree in Business or a related field
  • 2+ years of experience as an Executive Assistant, or similar role in a fast-paced environment
  • Experience in the technology industry will be considered a plus
  • Proficiency in productivity tools, scheduling platforms, and collaboration systems
  • Ability to create professional presentations and reports (e.g., PowerPoint, Google Slides)
  • Proficiency in the MS Office Suite
  • Fluency in English is required; additional languages are a plus
