Intellectica is recruiting on behalf of its client a Personal Assistant to the Executive Leadership (CEO & Owner), for a leading FMCG group with a strong heritage and a solid market presence. The company operates in a dynamic fast-moving consumer goods environment and combines a professional culture with long-term stability and trust. Based in Athens, Greece, the role reports directly to the CEO & Owner and is part of the executive office. The Personal Assistant will provide comprehensive professional and personal support to the CEO & Owner, coordinating day-to-day activities and ensuring the smooth and efficient running of their agenda and the wider executive office.
Key activities and responsibilities of this role include:
- Providing high-level, end-to-end personal and executive support to the CEO & Owner, ensuring that all professional and personal affairs are organised, prioritised and executed seamlessly
- Managing the CEO’s & Owner’s complex calendars and daily schedules, coordinating meetings, appointments, deadlines and events; anticipating needs and proactively resolving potential conflicts
- Handling incoming communications (calls, emails, messages) on behalf of the CEO & Owner, prioritising issues, drafting responses where appropriate and ensuring timely and appropriate follow-up
- Preparing, reviewing and formatting documents, presentations and briefing materials for meetings, ensuring accuracy, completeness and confidentiality at all times
- Coordinating business travel arrangements (flights, accommodation, transfers, visas if needed) as well as selected personal travel plans for the CEO & Owner and, where required, immediate family members
- Providing trusted personal assistance, including managing personal appointments (e.g. medical, personal services), coordinating with household vendors and service providers, arranging reservations and handling ad hoc personal requests
- Acting as a reliable liaison between the Executive Leadership, internal stakeholders and external partners, representing the executive office with professionalism, tact and discretion
- Organising and maintaining both digital and physical filing systems (professional and selected personal records), ensuring that information is structured, up to date and easily retrievable
- Handling highly sensitive and confidential information with absolute discretion, sound judgement and a strong sense of professional ethics
- Any other task that may be required from time to time
Professional experience & qualifications of a successful candidate:
- Bachelor’s degree in Business Administration or a related discipline; a Master’s degree is considered an asset
- Minimum 8 years of experience as a Personal Assistant, Executive Assistant or in a senior administrative role supporting top executives
- Experience in fast-paced corporate environments
- Proven ability to manage both professional and personal tasks, including complex schedules, travel and confidential matters
- Proficiency in MS Office Suite
- Fluency in Greek and English (written and verbal)
