Intellectica is recruiting an experienced Finance & Operations Manager on behalf of a leading academic institution. Based in Athens, Greece and reporting directly to the Managing Director, the successful candidate will be instrumental in managing financial operations and contributing to the growth and success of the institution. As part of a small managerial team, the Finance Manager will embrace the challenge of setting up processes, leveraging their entrepreneurial spirit and professional expertise to launch and efficiently operate signature events and programs.

Key activities and responsibilities of this role include:

Financial Management

  • Developing and managing the institution’s operating budget in collaboration with program teams
  • Managing all banking relationships of the institution
  • Performing monthly international bank reconciliation processes in accordance with the Institution’s Standard Operating Procedures
  • Monitoring and ensuring accurate financial reporting, including monthly financial statements, budget vs. actual analysis, and forecasts
  • Ensuring compliance with donor financial regulations and reporting requirements
  • Overseeing financial transactions, including payments, reimbursements, and payroll
  • Maintaining financial records and ensuring they are organized and easily accessible for audits and reviews
  • Implementing and enforcing financial policies, procedures, and controls
  • Identifying and mitigating financial, operational, and HR risks
  • Ensuring compliance with local tax laws, labor laws, and other regulatory requirements
  • Providing services in support of compliance with internal and external audits
  • Preparing and submitting accurate and timely financial reports to donors and the institution
  • Preparing regular reports for senior management on financial, operational, and HR matters
  • Assisting in the development of proposals and budgets for new projects and grants

Operations

  • Managing operations of the institution, including procurement, logistics, and contract negotiations
  • Coordinating with relevant government authorities to ensure compliance with local regulations

Human Resources

  • Managing the HR function with the support of HQ; tasks include recruitment, onboarding, performance management, and staff development
  • Assisting the institution with payroll compliance in accordance with both local and international norms and regulations
  • Supporting the facilitation of HR training and capacity building for staff
  • Managing and maintaining personnel records and HR documentation
  • Supporting timely and confidential resolution of HR-related inquiries and issues.
  • Any other task that may be required from time to time

Professional experience & qualifications of a successful candidate:

  • Bachelor’s degree in Business, Finance, or Accounting; advanced finance degree (i.e., MBA, Masters in Economics, Accounting, etc.) or related qualification (i.e. ACCA, CFA, CPA) is preferred
  • At least 5 to 8 years of related financial management experience; work experience from an academic institution (college/school) or non-profit foundation relating to academia is consider a strong plus
  • Experience in managing donations is required
  • Exposure to office operations management is a plus
  • Excellent computer skills including advanced knowledge of Excel are crucial
  • Fluent in Greek and English
