Intellectica is recruiting a motivated Personal Assistant to support the General Manager of a leading strategic communications & consulting agency, having impact in more than 13 sectors. Based in Athens, Greece, the successful candidate will play a key role in supporting the General Manager’s daily activities and ensuring smooth office operations.

Key activities and responsibilities of this role include:

  • Coordinate travel arrangements and schedule appointments and meetings for the General Manager while managing their calendar efficiently
  • Handle incoming calls, messages and redirection as needed
  • Prioritize and manage email correspondence, ensuring timely attention to important matters
  • Organize daily meeting agendas, take minutes, handle correspondence and draft emails
  • Accompany the General Manager to business events
  • Coordinate schedules, travel arrangements, and meetings with partners and clients
  • Collaborate with team members to prepare the General Manager for meetings and presentations
  • Prepare and oversee the distribution of corporate gifts
  • Perform administrative tasks, including record keeping, note-taking, documentation creation, filing and confidential financial management
  • Welcome visitors, review documents, manage internal communications, and optimize office efficiency
  • Any other task that may be required from time to time

Professional experience & qualifications of a successful candidate:

  • Bachelor’s degree in Business Administration or a related field
  • Previous experience in secretarial and/or administrative support
  • Proficiency in MS Office Suite
  • Fluent in Greek and English
