Intellectica is recruiting an experienced and meticulous Personal Assistant to the CEO on behalf of a leading European healthcare provider. With operations across multiple countries and a workforce of over 3,000 professionals, the organization is known for its high standards and dynamic leadership. Based in Athens, Greece, and reporting to the CEO, the successful candidate will play a pivotal role in managing daily operations, streamlining communications, and providing strategic administrative support in a fast-paced, high-responsibility environment.

Key activities and responsibilities of this role include:

  • Coordinating travel arrangements and schedule appointments and meetings for the CEO while managing their calendar efficiently
  • Handling incoming calls, messages, and emails and redirection as needed
  • Preparing meeting materials, taking accurate minutes, and organizing follow-ups to support effective decision-making
  • Liaising with internal teams and external partners to arrange meetings and visits
  • Accompanying the CEO to selected events and ensuring smooth coordination
  • Handling confidential administrative tasks, including financial document management, internal records, and filing systems
  • Assisting in the execution of strategic initiatives by following up on key action items and deadlines
  • Welcoming visitors and supporting the smooth operation of the executive office
  • Any other task that may be required from time to time

Professional experience & qualifications of a successful candidate:

  • Bachelor’s degree in Business Administration or a related field
  • At least 5 years of experience as a Personal Assistant, Executive Assistant, or senior administrative roles, ideally within a healthcare, pharmaceutical, or a regulated corporate environment
  • Tech-savvy with the ability to manage digital tools (including AI tools) and social media platforms
  • Familiarity with project management tools is considered a plus
  • Proficiency in MS Office Suite
  • Fluency in Greek and English (written and verbal)
