Intellectica is recruiting a Personnel and Administration Coordinator on behalf of its client, a leading provider of specialized engineering solutions for subsea cable installation and offshore energy infrastructure. Renowned for delivering high-quality, reliable services to global partners, the company values precision, accountability, and operational excellence. Based in Attiki, Greece, this successful candidate will report directly to the CEO and support the full spectrum of human resources and administrative functions.

Key activities and responsibilities of this role include:

  • Maintaining comprehensive personnel records for staff and contractors, including qualifications, medical clearances, training certifications, and others
  • Preparing HR documentation and official correspondence, while ensuring HR databases are accurately updated and maintained
  • Managing end-to-end onboarding and offboarding processes, including new hire packages, documentation and logistics coordination
  • Coordinating internal and external employee development activities, including liaison with external partners, such as training vendors
  • Scheduling approved training courses in accordance with individual and organizational development plans
  • Reviewing and updating internal manuals, departmental procedures, and employee handbooks
  • Addressing employee queries related to HR policies and internal procedures
  • Ensuring confidentiality of HR information and safeguarding sensitive data
  • Organizing company events and team-building activities to support employee engagement and satisfaction
  • Effectively communicating the company’s vision, leadership decisions and organizational updates to staff, reinforcing the firm’s corporate values
  • Collaborating with the QHSE Department to support and promote company-wide initiatives on quality, health, safety, and the environment (QHSE)
  • Assisting with travel arrangements and the preparation and processing of relevant expense forms
  • Participating in educational workshops to maintain technical knowledge and staying up to date with changes in labor legislation
  • Any other task that may be required from time to time

Professional experience & qualifications of a successful candidate:

  • Bachelor’s Degree in Human Resources, Business Administration, or a related field; HR certifications are considered a plus
  • At least 3 years of experience in a similar HR or administrative coordination role; maritime or offshore industry background is highly desirable
  • Understanding of Greek labor law and employment regulations
  • Familiarity with Human Resource Management Systems (HRMS) is considered a plus
  • Proficiency in Microsoft Office Suite with advanced skills in Excel
  • Fluency in Greek and English, both written and spoke
